Email Settings

Introduction

CrystalKiwi Explorer uses the SMTP protocol to send email messages to your mail server.  The SMTP settings are used by the Report Viewer, Report Bursting and Report Scheduling functions of this application.

You can access this from using the main menu items File/Settings/Email Settings

Main Form

The Main Form displays the fields you need to send email messages.  Enter the settings below and remember to "Save" them.

  • Processing lets you select one of three options for email processing. The default option is to send all messages via the SMTP server. For testing you might want to select "Suspended" which will block any sending of email messages. This let's you see how the processing of the reports will proceed without actually sending any messages. The third option is "Use Test Address" which will ignore any sender you might have select, and it will redirect all messages to the test address you have on the form above. This option will raise an error if you do not have a valid address in the Test Message To field.
  • SMTP Server is the IP address or name of your mail server. This is often an Exchange Server on your office network, but it could also be a server outside your network. To forward messages from a local server to addresses outside your network, the mail server must be set to "Enable Relay"
  • The from address is required. This is the "sender" of all email messages. It must be a valid sender for the SMTP server above. On some servers, this must be a valid email address on the server, while on others any address in the company domain is a valid sender.
  • Our Shadow Copy feature enables you to send a copy of all messages to another address. This is useful for logging or test purposes.
  • Test Message to is where you would probably place your email address. You could then click the [Test] button to see if the other settings are correct. You should also test with an address outside your network to confirm that the Relay settings are enabled correctly.
  • Email Address is the address to use if an invalid email address if encountered on report bursting or scheduling. An invalid address is one with a space in the address, or one that does not have an "@" or a "." in the address.

Authentication

Some mail servers require authentication to stop rogue applications from send spam emails. CrystalKiwi Explorer supports mail serve authentication. Tick the box that says Requires SMTP authentication and enter the user and password required to relay email messages through your server.

Your mail server administrator will be able to help you with this setting

Email Relay

Relay is the mechanism where a mail server will forward an email message to other servers so it will quickly get to the destination server.Spam services use a similar mechanism, so by default SMTP Relay is forbidden.

You will need to get your mail server administrator to enable relay for any machines running any CrystalKiwi Explorer mail functions. The "Enable Relay" functions are an option under the SMTP protocol settings on the mail server.

Outlook based Email

You might ask why we don't use MAPI to send email via the outlook client in the same way as older versions of Crystal Reports have done in the past. There are two reasons for not taking this approach.

  1. Outlook based email automation was an early candidate for spam developers, so Microsoft introduced some security features to require the user to confirm that any third party application really does need to send that message. On a report bursting run for potentially thousands of recipients this is unworkable.
  2. CrystalKiwi Explorer is designed to be installed on a terminal server or virtual server. In these cases the user outlook email might not be installed, so there is no Outlook client settings to send email. By using SMTP directly to the mail server, we can avoid Outlook and send messages.
